Terms and Conditions — Surabhi Travels

Welcome to Surabhi Travels. These Terms and Conditions (“Terms”) govern your use of our services, booking of travel packages, and interaction with our website and representatives. By booking a tour or using our services, you agree to be bound by these Terms. Please read them carefully.

1. Definitions

Company / We / Us / Our: Surabhi Travels.
Client / You / Your: The person(s) who book or purchase any services from Surabhi Travels.
Booking: Any reservation for travel services (packages, transport, accommodation, activities) made with Surabhi Travels.
Supplier / Third-party Provider: Hotels, transport companies, activity operators, airlines, local guides and other vendors who provide services forming part of your booking.

2. Scope of Services

Surabhi Travels acts as a travel organizer, facilitator and/or agent. We provide travel packages and related services, including but not limited to transportation, accommodation, sightseeing, and local arrangements. Unless explicitly stated, we are not the direct supplier of all services; many are provided by independent third-party suppliers.

3. Booking and Confirmation

How to Book: Bookings can be made via our website, over the phone, by email, or in person at our office.
Deposit & Payment: A deposit and/or full payment is required to confirm a booking. Specific payment terms are shown at the time of booking.
Confirmation: A booking is confirmed only when we issue a written confirmation and you have paid the required deposit.
Accuracy of Information: You must provide accurate and complete information when making a booking. We are not responsible for problems caused by incorrect or incomplete information provided by you.

4. Prices and Currency

All prices are quoted in Indian Rupees (INR) unless otherwise specified.
Prices are based on current rates and are subject to change due to currency fluctuations, supplier rate changes, government taxes, or fees applicable at the time of travel.
We will inform you of any price changes prior to final payment where possible. We reserve the right to correct errors in pricing.

5. Changes and Cancellations by the Client

Changes: Any amendment requested by you after confirmation may incur fees and is subject to availability.
Cancellations & Refunds: Cancellation charges depend on the supplier’s and our policies and the timing of cancellation. Certain elements (e.g., non‑refundable airline tickets, peak-season hotel bookings) may be non-refundable.
How to Cancel: Cancellation must be communicated in writing (email is acceptable). The date of receipt of cancellation is the date the cancellation fee is calculated from.
Refund Processing: Refunds (if applicable) will be processed after receipt from suppliers and may take time (upto 30 days). We are not liable for delays caused by banks or payment processors.

6. Changes by Surabhi Travels or Suppliers

We and/or our suppliers reserve the right to make reasonable changes to itineraries due to operational reasons such as weather, road conditions, supplier changes, or safety concerns.
If significant changes occur (such as alteration of more than 20% of the itinerary or cancellation), we will inform you and offer alternatives or a refund where appropriate.
We are not responsible for minor changes that do not materially affect the trip.

7. Force Majeure

We are not liable for failure to perform our obligations where that failure is caused by events beyond our control, including but not limited to natural disasters, strikes, acts of government, pandemics, wars, civil unrest, terrorist acts, or other unforeseeable events (“Force Majeure”). In such cases, we will endeavor to assist you in alternative arrangements but cannot guarantee the outcome.

8. Travel Documents, Health & Visa Requirements

It is your responsibility to hold valid passports, visas, travel permits, vaccinations and other required documents and health certificates for the destinations in your itinerary.
We will provide general guidance but accept no responsibility if you are denied boarding or entry due to missing or incorrect documentation.
Travel advisories and health requirements change frequently; please check with relevant government authorities.

9. Insurance

Travel insurance (covering cancellation, medical, personal accident and baggage) is strongly recommended for all travelers. It is your responsibility to obtain adequate insurance before travel. Surabhi Travels is not responsible for costs arising from illness, injury, loss, theft, or other incidents during travel.

10. Liability and Limitation of Liability

Surabhi Travels acts only as an agent for suppliers and is not liable for injury, loss, damage, death, delay, or irregularity that arises from the acts/omissions of suppliers.
We shall not be liable for any indirect or consequential losses including loss of enjoyment, business profits, or anticipated savings.

11. Health, Behaviour & Safety

You must advise us of any illness, medical condition, disability, or dietary requirement at the time of booking so that we can make reasonable arrangements. Failure to disclose relevant information may result in refusal of service or removal from a tour.
We reserve the right to refuse service or remove any traveler whose behaviour is likely to jeopardize safety or enjoyment of other travelers. No refunds will be made in such circumstances.

12. Children and Infants

Children must be accompanied by an adult at all times unless otherwise stated.
Any age restrictions, special pricing or requirements for children/infants will be shown in the package details. Car seats, cots, or baby facilities are not guaranteed unless confirmed.

13. Third-Party Suppliers & Services

Certain services may be provided by third-party suppliers; these suppliers have their own terms and conditions, which you must follow.
We are not responsible for any failure, default, or bankruptcy of any third-party supplier.

14. Complaints Procedure

If you have a problem during travel, you must notify the local supplier or our representative immediately so we can attempt to resolve it on the spot.

15. Intellectual Property

All content on our website, marketing materials, logos and images are the property of Surabhi Travels or our licensors and are protected by copyright and other intellectual property laws. You may not reproduce or use our materials without prior written permission.

16. Privacy & Data Protection

We collect and process personal data to provide travel services. Our Privacy Policy explains how we collect, use, and protect your personal information. By booking with us, you consent to our collection and use of your personal data as described in the Privacy Policy.

17. Marketing, Photography and Reviews

During some trips, photos or videos may be taken for marketing purposes. By participating, you consent to the use of your image unless you notify us in writing prior to travel.
We may ask for reviews or testimonials following your trip and may publish them with or without your name unless you request otherwise.

18. Payment Methods and Security

We accept payments by the methods displayed at booking (bank transfer, card, UPI, or other payment gateways). All payments processed through third-party payment providers are subject to their terms. We do not store full payment card details on our systems. We validate the payment once we receive.

19. Promotions, Offers and Vouchers

Promotional offers, discounts, vouchers or coupons are subject to specific terms and may have expiry dates or blackout periods. These cannot be combined with other offers unless expressly stated.

20. Amendments to Terms

We may amend these Terms from time to time. Changes will be posted on our website with an updated Effective Date. Continued use of our services after changes constitutes acceptance of the updated Terms.

21. Governing Law & Jurisdiction

These Terms are governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts/tribunals shall be of New Delhi only.

22. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

23. Entire Agreement

These Terms (together with our Privacy Policy and booking confirmation) constitute the entire agreement between you and Surabhi Travels in relation to your booking and supersede all prior agreements.
